Privacy Policy

1. Overview

AjiraScape lists job vacancies in Tanzania and the region. You can browse jobs without an account. If you create an account, as a job seeker to build a CV or as an employer to post jobs, we store the information you give us. This policy explains what we collect, why, who can see it, and how to have it removed.

2. Browsing without an account

• Job page views. When you open a job's page, we record which job was viewed, the time and your IP address. We use this to count how often jobs are viewed.
• Analytics. We use Google Analytics to understand how the site is used (pages visited, device type, approximate location). Google Analytics sets cookies in your browser; you can block them in your browser settings without affecting the site.

3. Your account

When you sign up we collect:

• your name and email address (your email is also your login),
• your password, which is stored only in a scrambled (hashed) form that we cannot read,
• whether you are a job seeker or an employer, and for employers the company or organisation name.

We use your email to verify your account, send password-reset links and contact you about your account. We don't send marketing emails and we don't sell your data.

4. Your CV (job seekers)

If you use the CV builder, we store what you enter, which can include:

• personal details: name, headline, email, phone number, location, LinkedIn and website links, and an optional photo,
• your professional summary, work experience, education, skills, certifications, languages, and projects or achievements,
• referees' names, positions, organisations, phone numbers, email addresses and relationship to you.

Who can see your CV: your CV is private to your account. It is not published on AjiraScape, not shown to employers, and not shared with anyone else unless you choose Create tailored CV & cover letter (section 5). You decide who sees it by downloading it as a PDF and sending it yourself. Your photo is stored privately and only shown to you while you are logged in. AjiraScape administrators can access stored data when needed to run the service, fix problems or respond to a request from you.

Referees: referees are other people. Please only add someone as a referee once they have agreed to it.

5. Create tailored CV & cover letter (optional)

On a job's page, job seekers can choose Create tailored CV & cover letter to get a CV and cover letter drafted for that job and sent to their inbox. Nothing happens unless you click it. When you do:

• What is sent: the contents of your CV (everything in section 4 except your photo, including your referees' details) and the details of the job.
• Where it goes: to n8n, a workflow automation service, which passes it to Google's Gemini AI model to write the drafts, and to a PDF conversion service operated by us that turns the drafts into PDF files and does not keep them.
• How you receive them: we email the drafts, as PDF attachments, to the email address you log in with (never to an address typed in your CV), through our email provider Resend.
• What we keep: the drafts (a tailored CV, a cover letter and, if the job asks for applications by email, an email message) are stored privately with your account. Only you can see and download them. Preparing new drafts for the same job replaces the old ones.
• Nothing is sent to employers. You review the drafts and decide whether to apply. If a job asks for applications by email, we include a suggested email for you to send yourself, from your own email account.
• Check the drafts. They are written by AI from your CV and can contain mistakes. Correct anything that isn't accurate before you use them.

6. Job posts (employers)

Jobs you post, including the company name, job details, application link and any application email address, are reviewed by us and then published publicly on AjiraScape so that job seekers can find and apply for them. Your own name and email address are not shown on job posts.

7. Cookies

We use essential cookies to keep you logged in and to protect forms against misuse. They are needed for the site to work. Google Analytics cookies are described in section 2.

8. Who processes data for us

• Hosting: the site and its database run on a cloud server rented by AjiraScape.
• Email delivery: account emails (verification and password reset) and tailored CV emails are sent through Resend, an email delivery service.
• Analytics: Google Analytics, as described above.
• Create tailored CV & cover letter: n8n (workflow automation) and Google Gemini (AI model), only when you use this feature, as described in section 5.

These providers only process data to provide their service to us.

9. Security

The site is served over an encrypted (HTTPS) connection, passwords are hashed, and access to our server and administration tools is restricted. No system is completely secure, so please use a strong password that you don't use elsewhere.

10. Keeping and deleting your data

We keep your account, CV and any tailored CV drafts until you ask us to delete them. You can edit or remove any CV entry at any time from My CV. To get a copy of your data, correct it, or delete your account and everything stored with it, email us at the address below from the email address on your account.

11. External links

Job listings link to external company websites and recruitment portals. When you leave AjiraScape to apply for a job, the privacy policy of that website applies.
